How to use this guide: Print this page or save it as a PDF, then keep it beside the list owner’s approval and the final verification report. A checklist improves consistency; it does not create consent or guarantee delivery.

Evidence rule

Keep duplicates, invalids, and unknowns visible as different states. The safest list is not the one with the most green rows; it is the one whose treatment your team can explain.

Checklist questions

What is email list hygiene?+

Email list hygiene is the repeatable process of inspecting, cleaning, verifying, suppressing, and maintaining contact data before outreach. It combines data quality with permission and suppression controls.

Does this checklist guarantee delivery?+

No. A clean or valid-looking address does not guarantee acceptance, inbox placement, or engagement. Sender reputation, consent, content, timing, and receiving policies still matter.

Should unknown emails be deleted?+

Not automatically. Unknown means the available evidence is inconclusive. Keep them separate and make a deliberate decision based on risk, consent, and campaign needs.

Are duplicate rows charged by Refresh List?+

No. Refresh List identifies duplicate rows before verification and does not charge for duplicates or skipped rows. Completed unique checks, including unknown outcomes, use credits.

THE PRACTICE

CLEAN THE INPUT.
RESPECT THE SIGNAL.

Better hygiene is a repeatable operating habit, not a one-time export.
